Report Distribution – Report Manager

When we schedule a processes/Report to run by loggin in as say, VP1, then to see the output/report you have to login with the same User Id VP1. If the requirement is that another user need to see the same output/report, without using VP1 user id, then we need to do report distribution and give the user access to report manager so the user can view other’s reports. One way of achieving this as given below.

  • Add the following roles to user
    • ReportDistAdmin or ReportSuperUser(See the Note below).
    • Any role containing permission List – CPPT1040 (gives access to Report manager) or similar one.
  • To all the processes/reports that user needs to have access, add the userid to distribution list of that processe/report.
    • Go to the process/report run control page
    • Slect run control Id
    • Click run
    • Click ‘distribution’ link for the process/report.
    • Select either a user and enter his User Id.
    • You have to submit the process/report, once for the distribution data you have entered to save.
  • Submit the process/report for testing.
  • Now if the user logs in and go to  Administration tab in Report Manager, he could see the process/reports and link to see the output/report. User can see the output/report using process monitor also.

 Note: The difference between the administrator (ReportDistAdmin) and super user (ReportSuperUser) roles is that the administrator role can access and update any report in the Report Manager. The super user role can  update only reports that they are authorized to view.

    Nice post.
    Is it possible to do away with submitting ? Which table is this information stored ?

    In production,it will not always be possible to submit a process.

    We might have to do it in a dev env ad move the run control info to production.

    we have the similar issue, we have setup a process scheduler in unix machine and another for NT on windows, they are configured across two webservers [load balancer]. we have issues with report distribution. consider we have the domain has xyz-12@xyz.com, on two servers abc1 and abc2. now what should i give in report distribution setup. cos when i give abc1 or abc2 i am able to configure and post but when i give xyz-12@xyz.com i am unable to post – geting http 900 response.

    Srinivas,
    Please check your Retention Days, PeopleTools > Process Scheduler > System settings(Process System tab). I think your Retention Days is set to 7 days, hence you see only last 7 days reports. If you need more you need change the rentention Days and bounce your process scheduler server.

    Hi, I have to print Expense Cover Sheet for one my employee.
    Navigation: Employee Self Service > Travel and Expenses > Capmark Expense Cover Sheet

    I keyed in Report ID: XXXXXX, but no values were returned and also I have quried the back end tables and found the report id. Here question is why I am not able to see his report id at Expense Cover Sheet Page (Find an Existing Value). Appreciate suggestions in this regard.

    Srinivas,
    I really did not understand the problem. Why do you need to key in report id? It should show up when you hit ‘Run’ botton right? If you are not seeing the report after you hit the ‘Run’ button, then check the component Id and process group for this report in process defintion pages.

    All you need is grant security as follows:
    Main Menu > Travel and Expenses > Manage Expenses Security >Authorize Expense Users and input emplid at Authorize Expense Users page and add Authorized User ID.
    Entering new UserIDs on this page will give those users the ability to enter
    expense transactions on behalf of the employee.

    Bala,
    I have changed Retention Days from 7 to 30days.PeopleTools > Process Scheduler > System settings(Process System tab).we ran report on 12th and that did not show on report repository still. The report that we ran on 13th is currently showing. We changed to 30days, but we did not bounce the scheduler. Is scheduler bounce is required. Please advise.

    Yes, you need to bounce the Process Scheduler server for the setting to take effect.

    need help bypassing combo edit for account and exaple 130000 for AP journals, currently it is requiring oper unit, dept and location and we want it set up like the account example 310000 that by passes this combo edit. Appreciate your help in this.

    we run some reports for HR module and found that user(through which we genrally run the process) has roles set as ReportDistAdmin. If we dont add this user in report distribution, after run in some reports its deleting distribution list wjile for some reports its working fine….
    please advice…

      i am running some reports with user id X1. in different reports we have defined different user and roles but not X1. after running reports with user id X1….in some reports distribution list got deleted and X1 inserted and while some reports were ok.
